We’re seeking a proactive individual to provide crucial administrative support to our service teams across different contracts — based at our Preston office
What Will You Do for Us?
🔸Efficiently allocate resources, including personnel, equipment, and materials, to ensure optimal utilisation and productivity including:
• Act as the liaison between clients and engineers to schedule service appointments
• Manage and update the scheduling system to reflect appointment changes
• Confirm appointments with clients and provide any necessary pre-visit information
• Follow up after appointments to gather feedback or arrange further work
• Handle last-minute changes and rescheduling as needed
• Communicate delays or changes proactively and professionally
🔸Learn and operate our CRM system which underpins our administrative functionality.
🔸Schedule, coordinate and communicate with field staff and clients to ensure smooth execution of technical tasks, resolving conflicts and addressing scheduling issues as they arise.
🔸Continuously improve scheduling and administrative processes, aiming to enhance productivity and reduce lead times.
🔸Maintain accurate and up-to-date documentation related to schedules, and other relevant records.
🔸Collaborate effectively with internal teams, stakeholders, and clients, meeting their expectations and ensuring a positive working relationship.
🔸Identify opportunities for process improvement in scheduling and administration, implementing best practices and innovative solutions to enhance productivity.
🔸Participate in forecasting field staff needs.
